Term and Conditions

Purchasing your vacation: At the time you finalize your vacation itinerary, you will be given an estimated cost, and you will be asked for your credit card number (or other guarantee of payment) at this time. Because there is a small chance that an item listed in your itinerary has become unavailable since the time the itinerary was presented for your review, we will not make any charges to your account until your itinerary is completely confirmed. In general, vacation package prices will be very close to the estimated price quoted. Differences in cost are generally due to accommodations or attractions not being available on the date requested, and the need to substitute another item in its place. This is most common for vacations booked only a few weeks in advance. 

We will proceed to confirm all of your reservations. Once all of your reservations have been confirmed (generally within 5 business days), we will inform you of the final, confirmed amount of your itinerary, and the deposit due. You will be asked to provide a positive authorization in writing for the amount of your payment, and at that time we will charge your credit card. For the purpose of our terms and conditions, your package is considered to be purchased at the time that you provide us with a guarantee of payment. In the event that you cancel your vacation package after giving us a credit card but before we charge your deposit, you are responsible for all applicable cancellation fees, as stipulated in this document.

Payments for vacations purchased more than 70 days in advance: At the time of purchase of your vacation, a deposit is due. The amount of this deposit is approximately 50%, but the exact amount depends on the items in your tour. Some itinerary items require full payment at the time of booking. Included in these items are airline tickets, and some lodgings and attractions. The total deposit will be the total of all items in your itinerary that require full payment, plus 50% of all other items.

Final Payment: The final payment for your vacation is due 60 days before your departure.

Payments for vacations purchased less than 70 days in advance: Tours purchased less than 70 days in advance must be paid in full at the time of booking.


 

Travel Insurance: Alaska Vacation Store highly recommends the purchase of travel insurance. By purchasing these policies, you may be able to protect yourself in cases of unforeseen circumstances that would require you to cancel or change your travel plans. Most of our clients have no problems with cancellations, but invariably, every season one or two of our clients has some catastrophic event that prevents them from coming to Alaska after they have made their plans. Because of the nature of our business, Alaska Vacation Store cannot provide refunds in these cases, no matter how much we might empathize with our clients. We do not sell travel insurance ourselves, but we can point you at one or more companies that do provide travel insurance policies.

Tour Packages: Alaska Vacation Store is a tour company, and all of our tour packages are sold as a single item (the tour package itself), rather than a number of individually booked items. However, some vendors, such as airlines, cruise companies and some hotels, may require that the payment for that portion of your package be made directly to them, rather than through Alaska Vacation Store. In those cases, the prices for those items in your tours will be deducted from the package price, and the vendors will take payment directly. With your permission, we will facilitate these transactions on your behalf by providing your payment information to the vendors directly. For all other items, Alaska Vacation Store negotiates net rates, for tour and lodging items, which we pay directly to the vendors. In the event of a vendor-initiated cancellation, you will be due a refund.  The refund amount will be in the amount we paid to the vendor for your booking. In many cases, this amount is less than the retail or advertised rate.

Cancellation Policy

Cancellation more than 60 days in advance: The guest may cancel the refundable portion of his or her tour more than 60 days in advance, with a service charge amounting to 10% of your total itinerary cost. *

Cancellation less than 60 days and more than 30 days in advance: The guest may cancel the refundable portion of his or her tour between 30 and 60 days in advance, with a service charge amounting to 25% of your total itinerary cost. *

Cancellation less than 30 days and more than 15 days in advance: The guest may cancel the refundable portion of his or her tour between 15 and 30 days in advance, with a service charge amounting to 50% of your total itinerary cost. *

Cancellation less than 15 days in advance: The guest may not cancel his or her itinerary without forfeit of the entire package price. *

Changes to the itinerary after the client approves the itinerary: Changes to itineraries can be made with the following restrictions:

* Cancellation of non-refundable items: Certain items, such as airline tickets, may be non-refundable, or have cancellation policies that are more restrictive than Alaska Vacation Store. In these cases, the cancellation policy of the vendor supersedes our policy. In the case of non-refundable items, these are considered separately for the purpose of refunds.

 

Consumer Disclosure Notice

Alaska Vacation Store is acting as intermediary and agent for supplier (‘principles’ identified on the attached or accompanying documents) in selling services, or in accepting reservations or bookings for services that are not directly supplied by this company, (such as air carriage, hotel accommodations, ground transportation, meals, tours, cruises, etc). This agency, therefore, shall not be responsible for breach of contract or any intentional or careless actions or omissions on part of such suppliers, which results in any loss, damage, delay or injury to you or your travel companions or group members. Our agent shall not be responsible for any injuries, damages, or losses caused to any traveler in connection with outbreak of hostilities between nations, terrorist activities, social or labor unrest, mechanical or construction difficulties, diseases, local laws, climatic conditions, abnormal conditions or developments, any other actions, omission or conditions outside the agent’s control. The buyer assumes all risks involved with such travel, whether expected or unexpected. Traveler is hereby warned of such risk and is advised to obtain appropriate insurance coverage against them. Cancellations must be in writing, and are subject to our cancellation policy. Your retention of tickets, reservations, or bookings after issuance shall constitute consent to the above, and an agreement on your part to convey the contents hereto to your travel companions or group members. Insurance premiums are non-refundable and can only be purchased directly through the insuring company or its agents, and not through Alaska Vacation Store. Delinquency of payments can result in additional charge(s) to cover costs of expediting documents. 

It is the responsibility of the customer to reconfirm the itinerary with Alaska Vacation Store at least 60 days prior to their departure date. Alaska Vacation Store is not responsible for any itinerary changes made independently, either prior to or subsequent to the booking of your travel plans with us. Payments not received according to tour operator terms may result in increased rates, accommodation changes and cancellations. Check the itinerary to verify that it is the vacation you ordered. It is also important that you read and understand the Alaska Vacation Store policies relative to conditions and cancellation penalties. Please be advised that Alaska Vacation Store forwards your payment to the tour operators and innkeepers for your vacation. If, for any reason you should cancel your vacation, your refund (less any penalties, as described in our cancellation policy) will be returned to you by Alaska Vacation Store only after we have received the refund back from the supplier. Your refund may take up to 60 days after the departure date, depending on your reservations. Refunds for airfare and other items whose terms are more restrictive than those stated within are subject to the restrictions imposed by those vendors in addition to those stated here. Lodging rooms and airline seating assignments are at the sole discretion of the suppliers. Any physical disability, which may require special attention or treatment, should be reported in writing to Alaska Vacation Store at the time of booking. Tour companies reserve the right to refuse or revoke passage to anyone who is, in their judgment, in such physical or mental condition as to be unfit for travel or who may require care and attention beyond that which the vendor can provide. Handicapped passengers must be self-sufficient and should travel with a passenger who will be responsible for any assistance needed during travel and in the event of an emergency. ANY AGREEMENT MADE BY ALASKA VACATION STORE MUST BE IN WRITING ON AN ALASKA VACATION STORE INVOICE OR LETTERHEAD.


 

Lodging and Smoking:

All of the lodging options that we offer are non-smoking, and smoking accommodations are not available. Many lodging vendors have designated smoking areas. Smoking in rooms is not permitted, and may result in a cleaning charge. This charge is imposed by the vendors, but may be collected in part or in total by Alaska Vacation Store.

Privacy Policy:

Alaska Vacation Store respects the privacy of our clients. We do not sell our client lists to any third parties. We do not disclose information about our clients except in the following circumstances:

Reservations: Alaska Vacation Store will provide information to vendors about clients in order to facilitate booking their tour. The information will be limited to the information that the client provides for this purpose. Depending on the booking, this may include credit card information that you have provided to us for the purpose of purchasing your vacation package.

Other Cases: Alaska Vacation Store will not disclose information about clients to third parties, except as stated above. If clients wish to allow us to disclose information to friends or family members in order to facilitate contacting the clients, the client must provide a release to that effect.

Intellectual Property Policy: By asking Alaska Vacation Store to provide an itinerary to a potential client, the potential client agrees that the itinerary is expressly the property of Alaska Vacation Store. If the prospective client uses the itinerary or the information contained within, in total or in part, to book a tour directly with the vendors, or through another tour company or travel agent, the potential client agrees to pay Alaska Vacation Store a fee for the use of the itinerary amounting to the commissions vendors would pay to Alaska Vacation Store for the booking. Alaska Vacation Store may disclose the names and other information of parties to our vendors for the purpose of protecting our intellectual property rights.
